Data collection issues, challenges, and triumphs

My project was implemented on October 1, 2019.  I have not collected any data as of today, October 15, 2019 due to the short amount of time.  There really have not been any major challenges with the exception of the clinic’s EHR program.  The program they are using has ICD-9 diagnosis codes instead of ICD-10 codes.  This should be pose an issue with my project however because my data will be collected using the CPT codes.

Even though I have not started data collection, I have talked with the staff and they said they are giving more pneumonia vaccinations.  That is a win in my corner as that is the goal of my project.  I will begin collection data at the end of the month.  I figure it will be easier on the clinic manager if I asked for data once a month, especially right at this moment and the issues with the ICD codes.

    I was under the impression that all clinics had to be ICD-10 compliant by, I think a year or so ago? If you are not aware of this already, there is a site which you can go to that will give you all ICD-10 codes; https://www.ICD10Data.com

    1. I thought so too. That is what boggled my mind. I know we did in my office. I was not aware that they were not using all ICD 10 codes when I began this project. Hopefully it will not impact my project. I do not think it should.

  2. Kay- I think some programming has icd 9 codes with an additional program to convert to icd 10. I have seen it in some of the clinics.

    Paula- If you are pulling data monthly will you being to process your data before you complete all of your data pull?

    1. I have to visit with the clinic manager about beginning to pull data. I would like to pull data at the end of eat month to begin comparison. At first I thought having the clinic manager pull data would be a great idea in terms of confidentiality, but I am finding out quickly it is a hindrance to my project. She has other duties and asking her to pull data is one more issue and I think, not as important as other clinic issues. She is very willing to help, but not at the time when I want information.

  3. Paula, I’m sorry you’ve run into some brick walls on data collection thus far. I know that some clinics still have a plan of ICD-9 to 10 conversion in progress. I know that my old company had to be completed by 2018 because of medicare but the company I’m with currently still have the conversion taking place with one of the providers but he runs his business as a concierge. It’s been an interesting and confusing process.
    I love how you and Violet are focused on vaccines and that so far you’re already seeing a positive trend.

    1. Thanks Vicki. It just blew my mind when I found out they were not using ICD 10 codes. I am like Kay, I thought all medical facilities had to change to be compliant. Lesson learned….do not assume even the smallest issues.
